Creating and Sending Distributions

How to send a Press Release/News Statement in the Distributions Module

Written by Jonathan Holland

The Vuelio Distributions module enables you to design, target, and deliver customised HTML communications, including press releases, event invitations, and media updates.

Key Features

  • Tracked Hyperlinks: Monitor recipient engagement by tracking clicks and asset downloads in real time.

  • Integrated Analytics: Review campaign performance metrics and delivery stats after distribution. (For detailed instructions, refer to the Distributions List & Reporting Guide.)

  • Dynamic Content Mapping: Pre-built HTML templates automatically populate content from your input fields to streamline email design.

Create a New Distribution

  1. From the main Vuelio navigation menu, select Distributions.

  2. Click Compose Distribution on the top right of the dashboard.

  3. The configuration screen displays two core tabs:

    • CONTENT: Formats the text, metadata, images, and attachments for your release.

    • DISTRIBUTION CHANNELS: Configures sender details, recipient targeting, DNS domain settings, email layout preview, and final delivery options.

Main Body Content (Right Panel)

The right panel contains three primary content fields:

Core Copy

Notes to Editor

Boilerplate.

  1. Content added here maps directly into the designated areas of your active HTML template.

  2. Be aware of where these content fields are positioned within your template to confirm the correct layout of your distribution.

  3. Optional fields left blank will automatically hide in the final email layout without leaving broken formatting.

  4. You can also use Lumina to Help Draft your distribution. Check out our guide on the Distribution Composer to learn more.

Copying & Pasting Text

You can type your Distribution freely within the text boxes explained. However, the best practice for writing out your distribution is to create it first within a Word or Google document and copy and paste it over.

  1. Paste text directly into the body editors using CTRL+V.

  2. When pasting from Microsoft Word, select Keep Formatting in the prompt to preserve embedded formatting and inline images.

  3. Use the Format toolbar option to clear existing links or image formatting if you wish to re-style the copy.

  4. Use Insert Asset or the Link icon to host images and downloadable documents through the Vuelio Media Library. See this guide for more details.

Image Formatting and Text Wrapping

Images can be aligned and wrapped with body text using two distinct methods:

Toolbar Justification

  1. Insert the image into the body editor.

  2. Click the image to highlight it.

  3. Select the Left, Centre, or Right Justify icon on the editor toolbar.

  4. Switch to the Distribution Channels tab (with Email selected) to verify text wrapping.

Advanced Image Padding Settings

  1. Right-click the inserted image and click Image then select Advanced.

  2. Enter numeric pixel values into the Vertical Space and Horizontal Space fields (e.g., entering 20 adds a 20px padding buffer around the image).

  3. Click Save.

  4. Preview the adjusted spacing in the Distribution Channels tab.

Table Layouts

  1. Click the Table icon in the toolbar and select the desired grid dimensions (rows and columns).

  2. Insert text or images directly into specific cells. Alternatively, create the table grid first and drag and drop assets into cells.

  3. Adjust cell spacing and borders using standard editor tools or by dragging cell dividers.

  4. Note: Layouts in the CONTENT editor may render slightly differently than in final delivery. Always rely on the Distribution Channels preview tab to verify final visual integrity.

Configure Channel Settings (Distribution Channels Tab)

Navigate to the Distribution Channels tab at the top of the interface, then select Email from the dropdown menu.

1. Delivery & Sender Settings

  1. Live Preview: View the populated HTML template on the right side of the screen. If you need adjustments, go back to the CONTENT tab; updates will appear immediately when you return.

Please Note: The Preview is a likeness. The result will depend on the email client in use (e.g. Gmail, Outlook, etc.)

  2. Email From: Specify the display sender name and email address.

    • Default Settings: Distributions dispatch using standard Vuelio sender domains.

    • Custom Brand Domains: To send using your organisation's domain, configure custom DNS settings via [email protected]. Also check out this guide for more information.

    • Domain Routing: Select paired send-from and reply-to domain profiles from the dropdown menu (e.g., dispatch from an automated domain while routing replies directly to your media team inbox).

  3. Greeting Format: Configure dynamic greeting tags.

    • Enter standard text and select recipient placeholders (e.g., typing Hi and choosing First Name and adding a comma renders as Hi Joe,).

    • If your HTML template lacks a default greeting field, insert {greeting} manually in the CONTENT editor where the salutation should appear.

2. Recipient Targeting

Select target audiences from one or more of the following recipient options:

  • Groups: Select pre-configured Vuelio contact lists by clicking +. Multiple groups can be added simultaneously.

Deduplication: The platform automatically deduplicates recipient lists before dispatching. Contacts appearing across multiple selected groups with identical email addresses will receive only one email.

  • Contacts & Outlets: Search and add individual media contacts or publication outlets directly.

Note on Outlets: Adding an entire outlet delivers the distribution to all valid contact addresses associated with that outlet in the database.

  • Manual Recipients: Manually type individual email addresses or import recipient lists via CSV upload.

Test, Save, and Send

  1. Send a Test Email:

    • Enter your email address (or a colleague's) in the Send Test field and click Send Test.

    • Inspect the test delivery to verify proofreading, template rendering, and hyperlink tracking functionality.

  2. Save Draft:

    • Click SAVE in the top-right corner to store the distribution as a draft.

  3. Send Distributions:

    • Once saved as a draft, click SEND to execute immediate distribution or activate your configured release schedule.
