Set up Alerts using Saved Searches in the Monitoring Inbox

In order to create alerts, you firstly need to have a saved search with the parameters set, for the intended alert.

The guide below will show you how to create Saved Searches and then use those searches to create alerts.

Saved Searches

Saved searches are a great way of saving large sets of parameters. Allowing you to jump back to the content pertinent to you and your reports later on.

Firstly, navigate to the Monitoring Inbox:

In the example below, I have already chosen a few filters. Refer to THIS article for navigating and filtering your coverage. I have selected filters and have the set of coverage I want to see in the future. Notice how many filters I have applied:

To run this again in the future may be time consuming, so to save time, click "Create" along the top and name it:

The next time you click into the platform, this search will be available if you click 'Load':

Select the search you wish to load and click 'Load':

This will then show coverage based on the pre-set filters.

Just above the filters, the name of the saved search will be visible. Below this will be a few options:

Save - If you make changes.

Save As - If you wish to save the search with a new name and possibly additional filters.

Options - If you need to rename or delete the search entirely.

If you click the name of the saved search, you have the options to either remove the search and run a new one, or Load another.

Creating / Editing Alerts

Alerts are a great way of keeping informed of the coverage important to you, on an hourly, daily or weekly basis.

Alerts utilise Saved Searches so you will need to either have completed the first steps above, or contact [email protected] to arrange set up.

Firstly click 'Alerts' on the top right side of the Monitoring Inbox:

You will then see all the previously created alerts. You can click the Pencil icon next to the alert you wish to Edit.


For now just click 'Create Alert' on the top right:

Here you will complete the Alert options in three steps:

Details

  • Email Subject - This is the name of your alert and the subject line of the email which is delivered.

  • Schedule - Allows you to select the frequency and specific dates you wish to receive the alert. Click Add + to select specific times.

  • Saved Searches - This is where you can select your saved searches which the alert feeds the coverage from. Therefore any coverage matching the each criteria of the alert will be delivered.

  • Recipients - Select the Vuelio users who need to receive the alert. Or free-type an email address and select it to add ad-hoc recipients.

As you select options, you will see these detailed on the right hand side.

Click 'Next' on the bottom right of the page to proceed with the next page of specifics.

Format Options

You will now see three tabs >

Template - Will allow you to select certain layouts for the alert being created, they differ slightly, so please see the images below for details >

Default: ADD IMAGES

Basic:ADD IMAGES

Political:ADD IMAGES

Content - Allows you to add certain data/information to the alert >

NOTE: If you have added Notes to your articles these will override the Snippets in your alerts emails.


Customisation - Allows you to add your brand colours and logos (you will need the URL of your logo) to the alert >

With the Logo, all you need is a URL of the Logo you wish to use, by default this is placed on the top right of the alert.

Each piece of detail in the alert can be amended with it's own colour, using HEX, RGB or by selecting manually a colour using the spectrum. You can see how an edited version can look below >

Further down the page, Custom Grouping allows you to add sorting to the alert, so you can for example add a grouping by the Tags you have enabled. In the example below, I clicked Add and selected Tags.:

Click 'Next' to continue to the last page, where you can save and start receiving your alert.

Status

Here you can now Send yourself an example of the alert, by clicking 'Send Yourself Copy', and/or Activate the alert, by selecting 'Start Sending'.

Remember to click 'Save' on the bottom right hand side, and your alert is created!
