Creating / Editing Bespoke Alerts

How to customise, brand, and configure email alerts within the Vuelio Monitoring Inbox. Add a Logo and Specific Branding to your Email Alerts!

Accessing and Managing Alerts

To create new branding alerts or manage existing ones, navigate through the Monitoring Inbox section using the following steps:

  1. Click the Alerts button located in the top-right corner of the Monitoring Inbox interface.

  2. A list of all current alerts will display. Ensure the alert you wish to edit is marked as Active.

  3. To modify an alert, click its headline or select the Edit (pencil) icon on the right-hand side.


Configuring Alert Details

Once you have clicked through to the edit function, the configuration process consists of three core stages: Details, Format, and Status.

Details

Subject & Schedule

  • Email Subject: Customise the subject line that will appear in the recipient's inbox.

  • Schedule Options: Choose between Daily, Hourly, or Immediate delivery.

  • Days & Times: Select specific days of the week and add delivery times in 30-minute increments.

Saved Searches & Recipients

  • Recipients: Populate internal team members or external clients by typing and selecting their email addresses.

  • Saved Search Requirement: Every email alert must be attached to a pre-existing Saved Search.

Once you have completed this, a Summary of your set-up can be seen on the right of the screen:

Note: A Saved Search must be created within Vuelio before it can be linked to an email alert.

Click Next or Format to move on to the template selection.


Format

Choosing an Alert Template

Vuelio offers three distinct format templates under the Template tab. Each template changes how the coverage data is displayed to the alert recipient.

Content Settings & Metadata Toggles

The Content tab determines the precise breakdown of information transmitted within the email alert.

  • Layout Options: Toggle options on (green) or off (grey) to customise the visual flow. Options include sending empty emails if no coverage is found, removing article links, eliminating repeats, and deduplicating articles by Headline, Headline + Date, or Headline + Date + Outlet.

  • Coverage Meta: Control which analytical data points accompany the clips. You can toggle Sentiment, AVE (Advertising Value Equivalency), and Reach on or off depending on client reporting preferences.


Bespoke Branding & Custom Grouping

The Customisation tab allows you to apply company-specific visual styles and multi-level data grouping.

Adding a Custom Logo

Logos must be hosted within your Vuelio platform Asset Library to generate a usable web URL.

  1. Go to Settings (gear icon, top right) and select Asset Library.

  2. Click Choose Files, upload your image, and hit Import.

  3. Click on the uploaded logo from the library list and copy the Original URL from the metadata panel on the right.

  4. Return to your alert configuration and paste this link directly into the Logo field.

Color Customization

You can perfectly align alerts with any brand guidelines using Hex codes, RGB values, HSL values, or an interactive colour palette picker.

Customizable fields include:

  • Logo Background

  • Main Header Text & Main Header Background

  • Section Header Text & Section Header Background

  • Article Headlines

  • Text Highlights

Advanced Custom Grouping

To override default sorting, toggle Use Custom Grouping on. This lets you construct a multi-tiered hierarchy to display content logically (e.g., sorting first alphabetically by Tag Group, and secondly by Source Type like Print, Online, or Broadcast).

To add a grouping, simply press Add and select from the dropdowns.

You can also select just the content you have grouped to appear in your alert.

This brings you to the final section by either pressing Next or Status


Status

Previewing and Activating Alerts

The final phase takes place on the Status tab to verify formatting before deployment.

  • Preview Alert: Press Send Yourself Copy or enter an email address and click Send to audit the final branding presentation.

  • Activate Alert: Toggle the status bar to Start Sending to go live.

  • Save: Click the green Save button in the bottom right to seal your changes.
