Send coverage to colleagues via email

The Forward News option allows the sending of all types of coverage via email. These look very similar to your Daily News alerts and you may choose from numerous options of layouts.

Firstly, navigate to the New Monitoring module >

Once here, run a search of coverage as you usually would (Click HERE for a full guide), and use the checkboxes to select the coverage you wish to send to your colleague(s) >

Note: Make sure you have only selected the items you wish to forward (remember to clear your briefcase first to make sure)

Then click "Forward News" in the Features row of options, this will provide you with a pop up window as below >

  1. Email To - This sets where the email will be sent to, you can enter multiple email addresses here, separate with ; (THIS IS A REQUIRED FIELD)

  2. Email From - This sets who the email is from please only enter as [email protected]. If you wish to send to multiple colleagues, send to yourself first and then forward to your own contacts or groups. (THIS IS A REQUIRED FIELD)

  3. Name From - This confirms in the email client i.e. hotmail, outlook etc who the email is from.

  4. Select Template - We have multiple Templates to choose from, click HERE for a guide showcasing all our possible templates.

5. Subject - The Subject line of the email. (THIS IS A REQUIRED FIELD)

6. Body Title - The title within the email. (THIS IS A REQUIRED FIELD)

7. Body Comment - This could be used to explain the email content.

8. Include Table of Contents - If a table is required, you must also include Groups (12)

9. Restrict by Tag Groups - If you only require coverage which include any of the Tags which are part of specific Tag Groups, select those Groups here.

10. Restrict by Tags - As per above, this allows you to show coverage which are associated with certain Tags.

11. Article Sorting - Sort your content of the News Forward by; Headline, Publication Date, Created Date, Rank. Then you can choose either Ascending or Descending.

12. Grouping - If the box is selected you will need to add at least 1 Group and sort. This forms the Table of Contents. Use the dropdown after clicking 'Add Grouping' to choose how you wish to sort.

13. Grouping Options - These are two options of Grouping, just select from the dropdown and choose ascending or descending.

14. Remove Repeats - This dedupes your covering sent via this forward.

15. Content - This box allows you to scroll and select multiple options to include into the email. Multi-select with Ctrl+Left Mouse. The full list is below:

  • Print Outlet Circulation

  • Broadcast Outlet Audience

  • Online Outlet Audience

  • News AVE

  • News Sentiment

  • Keyword Matches

  • Outlet Country

  • Author

  • Print Outlet Page Numbers

  • Social Media Twitter

16. Link to - This includes a "click to open" link to the live article.

17. Share Via Email - This includes a clickable link which opens a new email with a pre-set message with the link to the article.

18. Snippet/Summary - This includes either a Snippet featuring the keyword which appears in the text first, OR Summary will show the notes entered into the Analysis field of an article page (Click the headline of an article, then click Edit in the top right):

19. Send - Send and process the news forward.

20. Close - Effectively cancels the News Forward, this does not save progress.
