How to Add Images to Press Releases and Email Distributions

Different ways of adding images to distributions

Written by Jonathan Holland

Embedding images in press releases improves deliverability because major email providers often filter or block messages with large attachments. Using embedded image links ensures optimal formatting while letting you track released visuals and release performance.

Best Practice: Before launching a release, send a test email to yourself and colleagues to verify that embedded images render correctly and maintain professional alignment across different email clients.

Vuelio provides five flexible options for embedding and formatting images within your releases, core copy, notes to editors, and boilerplates:

Asset Library Integration

You can directly embed images and assets stored in your Asset Library into any content section (Core Copy, Notes to Editor, or Boilerplate).

  1. In the Distribution editor, place your cursor where you want the image to appear.

  2. Click the Insert Asset button located above the text field.

  3. In the assets window that opens, select your desired image or document.

  4. Click Use at the bottom of the window to embed the asset.

  5. To resize an embedded image, click on the image and drag its corner handles.

Direct Copy and Paste

If an image is already open in another document or application, you can paste it directly into the editor:

  • Keyboard Shortcuts:

    • Windows: Press Ctrl + C to copy, then Ctrl + V to paste into the editor.

    • Mac: Press Cmd + C to copy, then Cmd + V to paste into the editor.

Note: Right-click context menus (mouse right-click copy/paste) are not supported by the Distribution editor. Use keyboard shortcuts instead.

Hyperlinking Text or Images to High-Resolution Files

Linking text or thumbnails to the original high-resolution image stored in your Asset Library allows journalists to download print-quality media without triggering email spam filters.

Asset Resolution Variants

  • Thumbnail: Very low file size; suitable for mini galleries or inline icons.

  • Web Version: Compressed version optimised for inline email display.

  • Original: Uncompressed, full-resolution file. Preferred by journalists for publication print and digital reproduction.

How to Add an Image Hyperlink

  1. Select and copy the Original URL link from the Asset Library entry.

  2. Highlight the text or image in your editor that will serve as the link.

  3. Click the Hyperlink icon on the toolbar.

  4. Complete the following fields in the pop-up window:

    • URL: Paste the copied Original URL here.

    • Text to Display: Enter the visible text for the link (if linking text).

    • Title: Enter descriptive label text. Hovering over the link will display this title rather than the raw URL.

    • Open Link In: Choose whether the link opens in a new window or the current window (selecting a new window is recommended for journalist convenience).

  5. Click Save.

Insert/Edit Image Tool (Using Source URLs)

If your image is hosted on an external server or public URL, you can embed it directly using the Insert/Edit Image tool.

  1. Click the Insert/Edit Image icon on the toolbar.

  2. Configure settings across the General and Advanced tabs:

General Settings

  • Source: Enter or paste the direct external image URL.

  • Alternative Description: Add descriptive alt-text for accessibility and labelling (displays on hover or if the image fails to load).

  • Width and Height: Set specific display dimensions in pixels.

Advanced Settings

  • Style: Add custom inline CSS styling (e.g., margins or custom borders).

  • Vertical Space / Horizontal Space: Adjust padding around the image in pixels.

  • Border Width & Style: Set border thickness and visual style (solid, dashed, etc.).

3. Click Save to apply.

Table Layouts for Image Alignment & Galleries

Using tables provides clean structural alignment, simplifies text-wrapping around images, and allows you to create structured visual galleries.

Creating a Table Layout

  1. While editing Core Copy, Notes to Editors, or Boilerplate, click the Table option in the top toolbar.

  2. Hover over Table and select your desired grid dimensions (a 2x1 or 3x1 grid is recommended for balancing images and text side-by-side).

  3. Faint gridlines will appear in the editor area.

  4. Drag previously inserted or embedded images directly into table cells. The table will automatically resize to fit the asset dimensions.

  5. Enter adjacent body text into the neighbouring cells.

  6. Check the Distribution Channels tab preview to review spacing and fine-tune cell or image dimensions before sending.
